Learn how to work with quotes:


Open quotes

To open an existing quote, from the application left navigation area, select Quotes. Move through or search to locate the quote, then select it from the list.

Create quotes

Tip

Save time by copying an existing quote with its settings and information.

You can create a quote:

  • From the Quotes screen

  • Through guided selling

Select a tab for the UI version you use.

From the Quotes screen

  1. From the application left navigation area, select Quotes.

  2. Above the list of quotes, select +.

  3. In the Create Quote dialog, enter information or make selections:

    • Title—Enter the quote's title.

    • Account—Select the appropriate account.

    • Opportunity—Select the appropriate opportunity. For more information about opportunities, read About opportunities.

      Note

      The opportunities displayed are relevant to the account you have selected. If you want to view all existing opportunities, select the Show All checkbox.

  4. Select Create or Create and Open. The quote appears in the quotes list. Open it to add line items.

Through guided selling

Guided selling helps you find the right products for your quote by asking a series of relevant questions.

To create a quote using guided selling:

  1. From the application left navigation area, select Quotes.

  2. Go to the Guided Selling tab.

  3. Select a question set and start answering questions. Your answers appear on the right side of the page. You can return to any question and change your answer. After you answer the final question, a customized product catalog appears.

  4. From the catalog, select one or more products, then select Create Quote with selected products.

  5. Finish creating the quote by following Steps 3–4 in the From the Quotes screen section above.

From the Quotes screen

  1. From the application left navigation area, select Quotes.

  2. In the upper right corner, select + New Quote.

  3. In the Create Quote dialog, enter information or make selections:

    • Title—(Optional.) Enter a title for the quote.

    • Quote Type—(Optional.) Select the quote type.

    • Account—Select an account to link to the quote.

    • Opportunity—(Optional.) Select an opportunity to link to the quote.

    • Sales Office—(Optional.) Select a sales office for the quote.

    • Currency—Select the quote currency.

    • Language—(Optional.) Select quote language.

  4. Select Create, then select the quote from the list to open it. Alternatively, select Create and Open to open the new quote immediately.

  5. Add products to your quote. For details, read Manage line items.

Through guided selling

Guided selling helps you find the right products for your quote by asking a series of relevant questions.

To create a quote using guided selling:

  1. From the application left navigation area, select Quotes.

  2. In the upper right corner, select Guided Selling.

  3. Select a question set and start answering questions. Your answers appear on the right side of the page. You can return to any question and change your answer. After you answer the final question, a customized product catalog appears.

  4. From the catalog, select one or more products, then select Create Quote with selected products.

  5. Finish creating the quote by following Steps 3–5 in the From the Quotes screen section above.

Manage quote attachments

Select a tab for the UI version you use.

Attachments are additional reference files and documents related to a quote. This can include proposals generated from a quote, supporting documentation, links to external resources, or other files.

To access attachments, open a quote, then go to the Attachments tab. From here, you can manage your attachments:

  • Add files

  • Add links

  • Download attachments

  • Create a folder

  • Delete attachments

To enable the new UI, read Work with the new UI.

Attachments are additional reference files and documents related to a quote. This can include proposals generated from a quote, supporting documentation, links to external resources, or other files.

To access attachments, open a quote, then go to the Attachments tab. From here, you can manage your attachments:

  • Add files

  • Add links

  • Download attachments

  • Create a folder

  • Delete attachments

Add files

To add files, such as PDF documents, Microsoft Word files, or Microsoft Excel spreadsheets:

  1. Go to the Attachments tab.

  2. Above the list of attachments, select Add > Add File.

  3. Select Choose file and select the file to upload.

  4. (Optional.) In the Description field, enter a file description.

  5. Select Upload.

Add links

To add external links that point to files or folders on collaboration platforms such as SharePoint or Dropbox:

  1. Go to the Attachments tab.

  2. Above the list of attachments, select Add > Add Link.

  3. Enter information or make selections:

  • Attachment Usage—Select the type of attachment.

  • External Link—Enter the link to the external resource.

  • Description—(Optional.) Enter a link description.

  1. Select Create.

Download attachments

To download one or multiple attachments:

  1. Go to the Attachments tab.

  2. Select a checkbox next to one or multiple attachments.

  3. On the button bar above the list of attachments, select Download selected files/folders.

To download one attachment:

  1. Go to the Attachments tab.

  2. Select a checkbox next to an attachment.

  3. On the attachment row, select More > Download selected files/folders.

Create a folder

For easier navigation, you can create folders and store separate attachment types there. To create a folder:

  1. Go to the Attachments tab.

  2. On the button bar above the list of attachments, select Create folder.

  3. Enter the folder name, then select Create.

Delete attachments

To delete one or multiple attachments:

  1. Go to the Attachments tab.

  2. Select a checkbox next to one or multiple attachments.

  3. On the button bar above the list of attachments, select Delete.

To delete one attachment:

  1. Go to the Attachments tab.

  2. Select a checkbox next to an attachment.

  3. On the attachment row, select More > Delete.

Manage quote partners

Select a tab for the UI version you use.

Quote partners are key parties associated with a quote, such as billing and shipping contacts. To access quote partners, open a quote, then go to the Partners tab. From here, you can view, create, edit, and delete partners.

Create partners

  1. Above the list of partners, select Add Partner.

  2. On the Add partner dialog, enter information or make selections:

    • Function—Select a partner function.

    • Type—Select a partner type.

    • Partner—(Optional.) Select a partner.

    • Address—(Optional.) Select the partner’s address.

  3. Select Create.

Edit partners

Use one of the following methods to edit partners:

  • Select a checkbox next to a partner function. Then, above the partner list, select Edit.

  • On the partner row, select More > Edit.

Mark a partner as default

To set a partner as the default, on the partner row, turn on the Default switch.

Delete partners

Use one of the following methods to delete partners:

  • Delete one partner:

    • On the partner row, select More > Delete.

  • Delete one or multiple partners:

    • Select a checkbox next to the partner function for one or multiple partners. Then, above the partner list, select Delete.

Assign quotes

Select a tab for the UI version you use.

  1. From the application left navigation area, select Quotes.

  2. Select checkboxes next to the IDs of one or multiple quotes.

  3. Above the list of quotes, select a button:

    • Select Assign Quote(s) to me to assign the quotes to yourself. You'll become their primary owner. Additionally, on the Partners tab in the quotes, the Default switch for the Owner Party function will be set to YES.

    • Select Assign to Others, then select a user to assign the quotes to. If you don't see the Assign to Others button, contact your administrator.

Use one of the following methods to assign agreements.

Assign one agreement

  1. From the application left navigation area, select Quotes.

  2. Move through or search to locate the quote.

  3. On the quote row, select More. Then select an option:

  • Select Assign to Me to assign quotes to yourself. You'll become the quotes’ primary owner. Additionally, on the Partners tab in the quotes, the Default switch for the Owner Party function will be set to YES.

  • Select Assign to Others, then select a user to assign the quotes to.

Assign one or multiple agreements

  1. From the application left navigation area, select Quotes.

  2. Move through or search to locate the quotes.

  3. Select checkboxes next to the IDs of one or multiple quotes.

  4. From the button bar above the list of quotes, select Assign the quote, then select an option:

  • Select Assign to Me to assign quotes to yourself. You'll become the quotes’ primary owner. Additionally, on the Partners tab in the quotes, the Default switch for the Owner Party function will be set to YES.

  • Select Assign to Others, then select a user to assign the quotes to.

Copy quotes

Select a tab for the UI version you use.

  1. From the application left navigation area, select Quotes.

  2. Select a quote.

  3. From the bottom button bar, select Actions > Copy Quote.

  4. Enter information or make selections, then create a copy.

Use one of the following methods to copy a quote.

From the quote list

  1. From the application left navigation area, select Quotes.

  2. On the quote row, select More, then select Copy.

From the quote

  1. Open a quote.

  2. From the top button bar, select Actions > Copy.

This action includes copying overview fields, custom tabs, custom fields, and line item details, such as configurations, proposal text, and pricing information.

Additionally, your administrator can configure whether to copy:

Configure copying attachments

  1. From the application left navigation area, select Administration.

  2. From the top navigation bar, select Master Data Management.

  3. Scroll or search to locate Setting Boolean and select it from the list.

  4. Select Enable the automatic copying of attachments when copying a quote and quote line item.

  5. Set the Setting Value Boolean switch to YES.

Configure copying price items whose base amount equals zero

  1. From the application left navigation area, select Administration.

  2. From the top navigation bar, select Master Data Management.

  3. Scroll or search to locate Setting Boolean and select it from the list.

  4. Select Enable this setting to copy manual price items with base amount as zero.

  5. Set the Setting Value Boolean switch to YES.

Check for similar quotes

Select a tab for the UI version you use.

  1. From the application left navigation area, select Quotes.

  2. Select checkboxes next to the IDs of one or multiple quotes.

  3. Above the list of quotes, select Check for similar quotes.

Note

  1. From the application left navigation area, select Quotes.

  2. Select checkboxes next to the IDs of one or multiple quotes.

  3. From the button bar above the list of quotes, select Check for similar quotes.

Delete quotes

Select a tab for the UI version you use.

  1. From the application left navigation area, select Quotes.

  2. Select checkboxes next to the IDs of one or multiple quotes.

  3. Above the list of quotes, select . Then select Yes to confirm.

Use one of the following methods to delete quotes.

Delete one quote

  1. From the application left navigation area, select Quotes.

  2. On the quote row, select More, then select Delete.

Delete one or multiple quotes

  1. From the application left navigation area, select Quotes.

  2. Select checkboxes next to the IDs of one or multiple quotes.

  3. From the button bar above the list of quotes, select Delete.
