Submit quotes for approval

In CPQ, before sending a quote to a customer, you may need your manager's approval to ensure it follows company policies and pricing guidelines. Whether approval is required depends on the rules set by your administrator.
For details on configuring the approval process, read About approvals.
Any user who can update a quote can also submit it for approval. Once submitted, the system automatically notifies all defined user roles in the approval gate flow via email, letting them know that the quote needs their input. The system sends another email notification when one or more approvers make their input.
You can track approval details on the Notes tab in quotes, including:
- The approval status
- Routing information
- Details about the submitter, router, approver, and anyone who rejected the quote

Submit a quote for approval from the UI
- From the application left navigation area, select Quotes.
- Select a quote.
- From the bottom button bar, select Actions > Submit.
The quote goes through the approval flow. You can check the status of the quote approval on the Approvals tab in the quote.
Submit a quote for approval from the Inbox
The Inbox section in CPQ displays only finalized quotes and opportunities with statuses like Accepted, Rejected, Sent to ERP, or Won. You can see non-finalized quotes and opportunities in the Inbox only if you created or submitted them.
- From the application left navigation area, select Inbox.
- From the list of quotes, on the quote that you'd like to submit for approval, then select
.
- Select Submit.
Reject an open quote
Any authorized role can reject an open quote without having to go through the complete approval process. To do this, set the quote status to Rejected.
The following image shows the workflow of rejecting an open quote.
To reject an open quote:
- From the application left navigation area, select Quotes.
- Select a quote.
- From the bottom button bar, select Actions > Reject.
- In the Reject popup, from the Reason dropdown, select a reason for rejection.
- Select OK.
View rejected quotes on the Approvals tab.
Withdraw a quote
You can withdraw a submitted quote from the approval process. To withdraw a quote:
- From the application left navigation area, select Quotes.
- Select a quote.
- From the bottom button bar, select Actions > Withdraw.
By default, only the submitter can withdraw a quote. Administrators can change this default behavior. For details, read Allow all users to withdraw a quote or agreement in Customize approval process settings.
