Search, filter, sort, and group data in line item tables

You can search, filter, and group quote and agreement line items to navigate large line item tables and focus on the products you want to review or update.

In a line item table, you can:

Search for values across the table
Filter line items by individual columns
Combine the global search with column filters
Group line items by supported columns in list view
Manage grouping and column display options from the column menu

Search line items

Use the global search field to find a value across all columns in the line item table.

Open a quote, an agreement under negotiation, or a published agreement.
Go to the Items or Line Items tab.
In the search field above the table, enter a value:

The table dynamically displays line items that contain the entered value in any column.

You can use the global search together with column filters. For example, you can filter the Product Type column by Consumable and then search for Battery. The table displays only consumable products that contain Battery.

To clear the global search while retaining the applied column filters, clear the search field.

Search behavior in tree and list views

Search results depend on the selected line item table view:

In tree view, when a line item matches the search, the table also displays its parent product so that the item remains visible within its product or bill of material hierarchy.
In list view, the table displays only the matching line items as a flat list. It does not include related parent or child items.

Filter line items by column

Filtering controls appear below the headers of supported columns:

Depending on the column, you can filter line items by entering a value or selecting one or more values.

You can apply filters to multiple columns and combine them with the global search. Columns with active filters are visually indicated in the table.

Filter by entering a value

Open a quote, an agreement under negotiation, or a published agreement.
Go to the Items or Line Items tab.
Locate the filter field below the column header.
Enter a value.
Press Enter.

The table displays only the line items that match the entered value in that column.

To remove the filter, clear the filter field.

Configure a column filter

Use the filter icon next to the filter field to define more specific filtering conditions.

Open a quote, an agreement under negotiation, or a published agreement.
Go to the Items or Line Items tab.
Select Filter and Sort below the column header.
Select a filter condition, such as Equals, Greater than, or Less than,
Enter the value to use for filtering.
Apply the filter.

The available filter conditions depend on the column type.

To remove the filter, clear its configured value or condition.

Filter by selecting values

For columns that use predefined values:

Open a quote, an agreement under negotiation, or a published agreement.
Go to the Items or Line Items tab.
Select the grayed out filter field below the column header.
Select one or more values.

The table displays only the line items that contain the selected values.

To remove the filter, clear the selected values.

Group line items

In list view, you can group line items by dragging supported columns to the row-grouping area above the table:

Row grouping is not available in tree view. In tree view, line items are already organized according to product, bill of material, and parent-child relationships.

Create line item groups

Open a quote, an agreement under negotiation, or a published agreement.
Go to the Items or Line Items tab.
Switch to list view.
Drag the header of one or multiple columns to the Drag and drop the columns for grouping area above the table.

Text and selection columns support grouping. Number and date columns do not support grouping.

The table groups line items by the values in the selected columns. The order of the columns in the row-grouping area determines the grouping hierarchy.

For example, if you add Product Name followed by Unit of Measure, the table first groups line items by product name and then by unit of measure.

Remove line item grouping

To remove one grouping level, remove the corresponding column from the row-grouping area.

To remove all grouping levels, remove all columns from the row-grouping area, or open a column menu and select Reset Columns. Resetting columns removes the grouping but retains the applied filters.

Use the column menu

Open the menu in a column header to access the actions available for that column:

Depending on the column type, selected layout, and current grouping state, the menu can include the following options:

Sort Ascending—Sort line items in ascending order.
Sort Descending—Sort line items in descending order.
Pin Column—Pin the column in the table. This option is available only in the default layout.
Autosize This Column—Adjust the width of the selected column to fit its contents.
Autosize All Columns—Adjust the widths of all columns to fit their contents.
Group by [column name]—Group line items by the selected column. This option appears only for columns that support row grouping.
Reset Columns—Reset the grouping while retaining applied filters.
Expand All Row Groups—Expand all grouped rows.
Collapse All Row Groups—Collapse all grouped rows.
