Actions are commands users can perform on objects or line items, such as Save, Assign, Generate Proposal, Copy, or Delete. These actions are available in different parts of the user interface, and you can customize them to align with your business processes.

You can configure two types of actions:

  • Actions—Standalone commands that appear as buttons or dropdown menu items.

  • Action groups—Dropdown buttons that contain multiple actions, such as Actions or Reports dropdown buttons in the object header. You can customize actions within action groups just like you do with standalone actions.

Actions and action groups appear in the following UI locations:

  • Header on the object detail screen—As buttons in the header section on the object detail screen.

  • Object list table—As dropdown menu options when users select More on a row.

  • Line item table—As dropdown menu options when users select More on a line item row.

To customize actions:

Access actions and action groups

  1. Open the customization dialog:

  2. Go to the Actions or Actions Menu tab.

Access actions within action groups

  1. Open the customization dialog:

  2. On the Actions or Actions Menu tab, next to the action group name, select Edit.

    Tip

    To distinguish action groups from individual actions, a Next icon appears next to the name of each action group.

  3. Go to the Actions tab.

  1. Select an option:

  2. Turn on or off the Visible switch next to the action name.

  3. Select Publish.

Disable actions

  1. Select an option:

  2. Turn on or off the Read-Only switch next to the action name.

  3. Select Publish.

Rearrange actions

  1. Select an option:

  2. Drag the action to the desired position.

  3. Select Publish.

Add localized action labels

  1. Select an option:

  2. Next to the action name, select Edit.

  3. Go to the Localization tab.

  4. Select + Add Localized Label.

  5. From the Language dropdown field, select a language.

  6. In the Label field, enter an action label.

  7. Repeat Steps 4–6 for each language you need.

  8. Select Save.

  9. At the top of the dialog, next to the action name, select Back to go back to the action list.

  10. Select Publish.

Tip

To display the new labels in the UI, sign out and then sign back in to CPQ.

Restrict action visibility by UI profile

  1. Select an option:

  2. Next to the action name, select Edit.

  3. Go to the Visibility tab.

  4. Select + Add Profile to Hide Action Menu From.

  5. Select the UI profiles, then select Add Profile.

  6. Select Save.

  7. At the top of the dialog, next to the action name, select Back to go back to the action list.

  8. Select Publish.

Disable the action for specific UI profiles

  1. Select an option:

  2. Next to the action name, select Edit.

  3. Go to the Read-Only tab.

  4. Select + Add Profile to Disable Action Menu From.

  5. Select the UI profiles, then select Add Profile.

  6. Select Save.

  7. At the top of the dialog, next to the action name, select Back to return to the action list.

  8. Select Publish.

Apply mass restrictions to actions

You can hide or disable several actions at once for multiple UI profiles. This helps you quickly control what each profile can see and interact with.

To apply mass restrictions:

  1. Select an option:

  2. Select Mass Restrictions, then select + Add Profiles for Mass Restrictions.

  3. Select one or multiple UI profiles, then select Add Profile.

  4. Select Next.

  5. In the Hide tab, select + Add, then select the actions to hide for the selected UI profiles. Select Add.

  6. In the Read-Only tab, select + Add, then select the actions to disable for the selected UI profiles. Select Add.

  7. Select Save, then select Publish.
