Manage pre-delivered master data

Zilliant CPQ includes standard master data entries that support common business scenarios. These entries can include partner functions, product types, document types, and other values used throughout the application.

Some pre-delivered entries might not apply to your organization’s processes. You can exclude these entries from CPQ workflows so that they no longer appear in user-facing selection lists.

For example, if your organization does not use the pre-delivered Request for Information sales document type, you can exclude it. Users will no longer see that document type when during quote or agreement creation.

Excluding unused entries helps you:

  • Reduce unnecessary options in dropdown lists.

  • Make selections easier for users.

  • Align available values with your organization’s business processes.

  • Preserve existing system and transactional data.

Excluding an entry does not delete it or remove its existing references. You can include an excluded entry in workflows again when it becomes relevant to your business.

Prerequisites

To manage master data, verify that you have the ADMIN PERMISSION. For details on assigning permissions, read Role management.

Exclude a master data entry from workflows

  1. From the application left navigation area, select Settings > Administration.

  2. From the top navigation bar, select Master Data Management.

  3. Move through or search the list to locate the required master data type and select it from the list.

  4. Select the entry that you want to exclude.

  5. Set the Exclude from Workflows switch to YES.

  6. Select Save.

The entry no longer appears in applicable user-facing workflows and selection lists.

Repeat these steps for each entry that you want to exclude.

Include a master data entry in workflows

  1. From the application left navigation area, select Administration.

  2. From the top navigation bar, select Master Data Management.

  3. Move through or search the list to locate the required master data type and select it from the list.

  4. Select the entry that you want to exclude.

  5. Set the Exclude from Workflows switch to NO.

  6. Select Save.

The entry becomes available again in applicable workflows and selection lists.
