Export quotes to C4C

With enhanced quote export functionality in CPQ, you can export the latest generated proposal to C4C.

1. In Zilliant CPQ, select Administration, then select Setting Boolean.
2. Select Enable to export one or more proposal files inside the latest generated proposal folder.
3. Switch the Setting Value Boolean toggle to Yes.
4. Select Save.

If the Boolean flag is set to use the most recently generated proposal, the system selects and exports the corresponding PDF file to C4C.

The system uses the default proposal template if:

• The Boolean flag is set to use the most recently generated proposal and no document is found.
• No Boolean flag is set or left unchanged.

Exporting attachments

Quote attachments are exported to C4C immediately after an attachment is added in CPQ.

Exporting proposal PDFs in the background

The proposal PDF is exported in the background if the quote in C4C is in the required status. The PDF is exported only when the quote in CPQ is open, completed, or approved. When the quote is in an accepted or rejected status, the proposal PDF is not exported to C4C.

Exceptions when exporting quotes to C4C

The following exceptions may occur when exporting quotes from CPQ.

• Associated Account Not Found in C4C
  • Notification
    Export Failed: Quote does not have an external account.
  • Reason
    The account assigned to the quote does not have an external ID assigned.
  • Action to take
    Ensure the account of the quote is allowed to synchronize with the external system.

• Quote without Base Currency
  • Notification
    Export failed: The base currency code not found.
  • Reason
    The quote does not have a base currency.
  • Action to take
    Ensure the base currency of the quote is properly assigned.

• Base Currency Not Supported in C4C
  • Notification
    Export failed: The base currency code not supported in C4C.
  • Reason
    The currency assigned to the quote is not supported in C4C.
  • Action to take
    Ensure that the currency codes between the two systems are mapped correctly.

Warnings when exporting quotes to C4C

The following warnings may appear when exporting quotes from CPQ.

• Product Not Found in C4C
  • Notification
    Product: XXX[###] is not available in target system
  • Reason
    The quote contains products having an ECC ID but which are not found in C4C.
  • Solution
    Maintain the same product models in CPQ and C4C.

• Product without ECC ID
  • Notification
    Product: [XXX] does not have ECC ID maintained.
  • Reason
    The quote contains products without ECC ID assigned inside the CPQ.
  • Solution
    Maintain the ECC ID of the products in MX.

• Buyer ID Not Found in CPQ
  • Notification
    The buyer ID is not found. Remark: It is the Quote ID in MX which is used as External Quote ID in C4C.
  • Reason
    CPQ failed to generate the Quote ID when creating the quote.
  • Solution
    Consult with your admin to determine why CPQ did not generate a Quote ID.

• Buyer Party Not Found in CPQ
  • Notification
    Buyer Party is not found.
  • Reason
    This occurs when CPQ fails to set the buyer party using the account ID of the quote.
  • Solution
    Consult with your admin to determine why CPQ failed to set the buyer party.

• Employee Responsible Party Not Found in CPQ
  • Notification
    Employee responsible party not found.
  • Reason
    This occurs when the current user does not have an external ID. CPQ uses the external ID to set the responsible party of the exported quote.
  • Solution
    Assign the external ID in CPQ. Use the employee ID of the responsible party in C4C.

• Exporting New Quote to C4C
  • Notification:
    External Quote ID is not found.
  • Reason
    Indicates that the quote exported to C4C does not exist in C4C.

• Product Not Found in C4C
  • Notification
    The product associated with the quote is not present in the C4C system.
  • Reason
    The CPQ quote contains products that are not found in C4C.
  • Solution
    Maintain the same product models in both systems.

Currency decimal places

During quote-to-quote integration, CPQ does not export the sales item discount. It exports the modified unit price based on total price and quantity. When re-calculating unit price of sales item, CPQ uses the decimal places defined for each currency according to the target currency of the quote.
